It should be an expectation that your emails and documents are encrypted when they’re sent to others. Most of us have no control over them once they have been sent, or know whether they were encrypted when they were created.

Sharing sensitive information shouldn’t require complex technologies or involve new processes. In fact, it should be part of your existing software and you shouldn’t have to change the way you work. Once documents and emails are in someone else’s mailbox or on their network, you should still retain control.

What is encryption?

Encryption ensures that when a document or email is sent to someone else, the content is protected or disguised from being read by anyone other than the intended recipient. It is one piece of the puzzle, which is solved by using Azure Information Protection.

This is why encryption as a data security method on its own does not solve your data security needs. Instead we refer to it as ‘Protection’ (encryption + authentication + user rights) or Information Rights Management.

How does it work in Microsoft Office 365 and Exchange?

Microsoft Azure Information Protections (AIP) best in class encryption software ensures that your documents and emails are protected and encrypted at the point of creation, and always remain protected wherever they go.

No matter where in the world they may be, you remain in full control. You decide what can be printed, forwarded or whether your data expires. At any time you can revoke access to previously created emails or documents.

Classification labels and protection are persistent, travelling with the data so that it’s identifiable and protected at all times – regardless of where it’s stored or with whom it’s shared.

In terms of pricing, AIP is FREE with some versions of MS Office Enterprise or can be added on to your existing license for no more than £3.73 per user.

How does it work in Document Management Systems?

Document Management systems (DMS) protect their documents only once they have been added to the system, or reside within them. Consider them a very secure vault.

Here’s the catch. Many DMS’ can’t read encrypted documents, thus making them hard to index and store.
